Member Service Staff - Part Time Evenings and Weekends

Supervisor:  Membership Services Director

General Function:
The Member Service Staff is charged with the responsibility of helping to create a friendly, courteous, and safe environment for everyone who enters the building, and at the same time, effectively monitors building usage.  Member Service Staff has the additional responsibility of communicating with new, present and prospective members.

Skills:
Member Service Staff must have a pleasant and friendly personality.  They must enjoy working with people and be able to learn names reasonably fast.  He/she must be able to organize their work effectively, relate well with other staff and be efficient in use of the telephone and computer.

Job Responsibilities:
1.  Greet and acknowledge everyone as they enter the Lockport Family YMCA, Members, Program Participants and Prospective Members alike.
2.  Monitor everyone as they enter the building to be sure they are Members or Program Participants (Verify membership on computer).
3.  Proper telephone skills are utilized, messages are taken completely, and placed in appropriate supervisors box or calls transferred to voicemail.
4.  Be alert, informed, well dressed, and courteous at all times.
5.  Responsible for sales, program registration and completion of all records and membership materials for proper bookkeeping (includes data entry).  Drawer is balanced and starting cash accurate.
6.  Responsible for building tours and new member registration/orientation.
7.  Keep front desk clean and organized.  Restore all materials to their proper place prior to leaving at the end of your shift.
8.  Check out equipment (racquetballs), towels, lobby game equipment, make sure they are returned.
9.  Complaints are received, and forms are placed in the appropriate supervisors box.
10. Members are politely reminded of their fees past due or coming due.
11. Inform the Membership Services Director and/or Executive Director of any critical information concerning members, complaints, trends or other important information concerning membership.
12. Familiarize yourself with all YMCA programs and schedules.  
13. Participation in public relations and special promotion projects.

End Results:  
The member service staff will be successful when:
•    Members and visitors feel welcome
•    Each person who enters the building is monitored efficiently and courteously
•    Communication with new members and present members is done in a friendly and helpful manner
•    Questions you cannot answer are channeled to the proper program director in a timely fashion
•    Positive results are reflected in membership retention

School Age Child Care Programs (Runs September – June)

School Age Child Care Programs in DeSales, Lockport, Ransomville, Roy Hart, Starpoint & Wilson Schools Site Leaders & child care Aids September - June. Before School 6:45-9:00 AM and/or After School 3:00-6:00 PM pm on school days. Must be motivated, dependable, creative, team player, leader with ability to plan activities. Experience with children, related college studies helpful. Age 18 or older.

 

School Age Child Care Site Leader

GENERAL FUNCTION: Under the direction of the Program Director, responsible for planning, organizing and implementing the daily School Age Child Care Program during scheduled shift. Supervises any program assistants and volunteers, maintains a safe environment for all participants, and communicates with parents.

 

QUALIFICATIONS: The incumbent must be a High School graduate with preferably two (2) years of college education. The incumbent should have experience working with children in one or more of the following areas: Elementary Education, Arts & Crafts, Music or Counseling. He/she must possess the ability to assist in the supervision of both, program aids and volunteers. Should have general understanding of the YMCA, its goals and objectives, Must have knowledge of various resources for programming ideas and the skills to utilize that information in directing daily activities. All Site Leaders must have and keep current (or obtain within two months of hire date) Community CPR and First Aid.

 

SPECIFIC RESPONSIBILITIES:

1. Plan, organize, and implement the daily program schedule.

2. Maintain a safe environment for all children in the program.

3. Maintain all records, i.e. attendance, health forms, etc. as determined by supervisor.

4. Supervise program aids and volunteers. Make a positive working relationship among staff.

5. Maintain equipment and inventory supplies.

6. Know emergency procedures, rules and regulations.

7. Display a positive attitude that is conducive to good public relations.

8. Assist in recruitment to program participants.

9. Attend appropriate SACC and/or departmental meetings and required staff training opportunities when offered.

10. Assist with evaluations.

11. Expand job knowledge and skills by demonstrating a willingness to learn.

12. Other duties and responsibilities as assigned.

 

EFFECT ON END RESULT:

1. Broad-based quality SACC program with high level of participation.

2. The development and maintenance of quality SACC programming and staff.

3. Maintain a safe, clean and attractive SACC site.

4. The sound administration of all responsibility evident in the purposeful and well-coordinated program, good community relations, sound financial and record systems of the SACC program.

 

School Age Child Care Program Aid

GENERAL FUNCTIONS: Under the direction of the SACC Site Leader, responsible for on-site activity leadership, working directly with the children. Maintains a safe and fun environment for the participants. Assists with program planning as requested by the Site Leader.

 

QUALIFICATIONS: The incumbent must be at least 16 years of age. Must have experience in working with children, preferably in an organized setting. An expressed desire to work with children ages 5-12 in a structured program is needed, along with a willingness to learn that would enable the incumbent to substitute for the Site Coordinator if needed. Should have a general understanding of the goals and objectives of the YMCA. Must have and keep current First Aid and Community CPR (or become certified with in 2 months of hire date).

 

SPECIFIC RESPONSIBILITIES:

1. Assist in the planning of daily activities and preparation of materials.

2. Activity leadership, including interaction with individual children and small groups.

3. Maintain a safe preparation and distribution of snacks.

4. Assist Site Leader in maintaining records.

5. Know emergency procedure, rules and regulations.

6. Display a positive attitude that is conducive to good public relations.

7. Assist in recruitment of program participants.

8. Attend appropriate SACC and departmental meetings and staff training.

9. Implement Site Leaders directions as needed.

10. Other duties and responsibilities as assigned.

 

EFFECT ON END RESULT:

To implement a stimulating program for all participants while providing a healthy and safe environment.
